Withdrawal Procedures for Students

Called into Active Military Service

Students who are members of military reserve units and who are called into active duty are eligible to receive full refund of payment made for tuition and pro-rated refund of payment made for student fees exclusive of the health insurance fee. Such students are also eligible to receive pro-rated refund of payments made for room and board if living in university residence halls.

Students who are members of military reserve units and who are called into active duty must contact:

  1. Their college advisement office in person or in writing to withdraw from the university, and
  2. The Office of the Vice President for Student Affairs & Enrollment Management in person or in writing to request refunds to which they are entitled. A copy of the student’s military orders must accompany the request for refund.

The students’ college advisement office is available to answer questions that students may have concerning academic status at the university and re-enrollment after return from active military service.

In addition to processing requests for refunds, the Vice President for Student Affairs & Enrollment Management Office is available to answer general questions.

Questions related to Student Financial Aid: Students who are called into active military service may have questions about student financial aid. Since these students have only a limited amount of time between notification that they are being called to active duty and their report dates, the Student Financial Aid Office has designated its Assistant Director as the contact person to insure that these students have opportunity to address concerns about financial aid. The concerns addressed include questions about financial aid currently being received and concerns about applications for financial aid upon return from active military service. Questions related to housing: Students living in university residence halls who are in reserve units receive assistance and pro-rated refunds when called into active duty. These requests are processed by the Division of Student Affairs & Enrollment Management.

Housing and Dining Services also provides assistance to students living off-campus who are entering active duty. Students  may use the off-campus housing services in Housing & Dining Services to list off-campus housing available to sublet.

Legal questions: Students’ Legal Assistance provides assistance to individual students who are called into active service and who have legal questions. In addition to providing assistance to students called into active military duty, the office is available to answer questions and provide assistance to students who are roommates of those called into active military service and living in off-campus housing.

Counseling support services: Counseling and Student Development provides daytime emergency coverage for individuals and on-call crisis intervention when offices are not open. Counseling and Student Development staff are available to provide crisis intervention for living units (e.g., residence halls, fraternity houses, etc.) in the event of a student death, including death of a former student serving in military service. (It should be noted that the various campus ministries are available and willing to hold memorial services in the event of the death of former students who are in the military service.) The Counseling and Student Development Center will also provide referrals for students needing to leave the university and seeking therapy.

In addition to Counseling and Student Development, the Counseling Lab (Graham Hall 416, 753-9312), the Family Center (Wirtz Hall, Lucinda at Garden entrance, 753-1684), and the Psychological Services Clinic (Psych-Math Building, 753-0591) provide on-campus counseling services.

Other Agencies and Organizations: The DeKalb County Chapter of the American Red Cross (756-7339) provides emergency communication services in the event of a death, birth, serious illness, or emergency breakdown in child care arrangements for service men and women.

The Lombard Mennonite Peace Center provides draft counseling, workshops on conflict resolution for conflict on a personal or national level, etc. Contact the Mennonite Peace Center at: 1263 S. Highland Ave, Suite 1N, Lombard, IL 60148, (630) 627-0507.

PROCEDURES FOR STUDENTS WHOSE MILITARY
RESERVE UNIT IS ACTIVATED

Students who are members of military reserve units who are alerted that they may be called into active duty need to plan for the possibility that they will have to leave the university prior to completing the academic term. Most often the student will need to withdraw from the university; however, an exception for the need to withdraw may occur if the call to active duty occurs near the end of the academic term when the student has completed all or most course requirements. In such situations, students should consult with their instructors.

A student whose military reserve unit is called into active duty and who needs to withdraw from the university must:

1. Withdraw from the university through his/her academic advisement office. This may be done in person OR in writing.

2. Contact the Vice President for Student Affairs & Enrollment Management Office, Altgeld Hall 208, in person OR in writing to request refund of payments made for tuition (and fees and room and board, if living in university residence halls). A copy of the student’s military orders must accompany the request for refund.

A student who withdraws from the university because his/her military reserve unit has been called into active duty will receive a full refund of payment made for tuition. The assessment made for required student fees will be pro-rated except for the health insurance fee. Charges for room and board, if living in university residence halls, will be pro-rated according to check-out date.

After tuition and fees and room and board (if living in university residence halls) charges have been adjusted and any refund due has been determined, a refund check will be sent to the student at his/her permanent address. It should be noted that, if the student has received financial aid, the university may be required to refund to the source of that aid.

 

IMPORTANT NEWS FOR TROOPS AND THEIR FAMILIES


With the National Guard and Ready Reserves being called to active duty and U.S. troops being deployed or reassigned to other duty stations, student loan repayment may be one of the issues on the minds of soldiers and their families.

To avoid becoming delinquent on your student loans, consider the following tips:

  • Make sure you have information on all your student loans. Student loans can be hard to keep track of, especially if you attended different schools or used different lenders or loan programs. Review your records, contact your school(s), and locate all your student loans (www.loanlocator.org).
  • Consider a deferment or forbearance. Your deployment, activation, or reassignment may create a situation in which you need to delay repayment of your student loans. Deferment and forbearance are two important tools that allow you to adjust or postpone your loan payments (www.mapping-your-future.org). Your lender may grant a forbearance without a specific request from you if they have documentation showing you are subject to a military mobilization.
  • Provide your loan holder with authorization to correspond with your family or representative while you're away from home. Most loan holders will require written authorization to speak to someone other than you about your loan.
  • If you are required to continue making payments, consider electronic payment options, such as online payments or electronic debit. Electronic debit is a service that allows your bank to automatically deduct your monthly loan payments from your checking or saving account and forward it to your loan holder for processing. Some loan holders even offer interest rate discounts if you use electronic debit!
  • Will this deployment impact your family budget? Calculate a budget online (www.mapping-your-future.org) to determine how you will manage your money during this time.

Loan Relief

The U.S. Department of Education has issued guidance about loan relief for student loan borrowers. Provisions apply to borrowers who:

are members of the National Guard or Ready Reserves who are called to active duty for more than 30 days.

OR

are active members of the Armed Forces who are reassigned to other duty stations for more than 30 days.

If you have loans in an in-school, grace period, or in-school deferment status, you may have that loan status extended for up to three years during your active duty service. If you have defaulted student loans, you may not be required to make payments during your active duty service.

  • If your loans are in repayment status, you may be granted a deferment for up to one year during your active duty service. You continue to be responsible for interest that accrues on your student loans while on active duty (though you can choose to have the Interest added to your loans to be paid later).

Contact your loan holder for more information. Also, you may want to inquire if your military unit has someone designated to assist you with student loan questions.
